Personal Data
En Famille International is committed to safeguarding your privacy. Information sent through this website is transferred over an encrypted HTTPS connection. Depending on the form you use, we may collect your name, email address, telephone number, enquiry text, your child’s age band, preferred destination and intended exchange date. We use this information to send a requested Parents’ Guide, answer an enquiry, assess whether an exchange may be suitable and take steps towards arranging the service you have asked about.
Our legal basis for handling enquiries and requested information is taking steps at your request before entering into an agreement and, where appropriate, our legitimate interest in responding to families and administering the programme. We use consent as the legal basis for optional marketing emails. Marketing consent is always requested separately and is not required in order to make an enquiry or receive the Parents’ Guide. You may withdraw it at any time using the unsubscribe link in an email or by contacting us. Withdrawal does not affect processing carried out before consent was withdrawn.
We also process limited technical and security information, such as IP addresses, login-attempt records and session identifiers, where necessary to protect forms, subscriber data and staff accounts from spam, fraud and unauthorised access.
Website enquiry records are held on the server only while they await follow-up. When an enquiry is treated, the server record is erased; any information still needed for ongoing casework is retained securely offline. Untreated enquiries and guide-delivery records are retained only for as long as they are needed, normally no longer than 12 months. A marketing subscription and its consent evidence are retained until you unsubscribe, ask us to erase the record, or the record is no longer needed. We retain an unsubscribe record so that the address is not added again accidentally; you may ask us to erase it. Information may be retained longer where this is necessary to comply with a legal obligation or establish, exercise or defend legal claims.

Essential Session Cookie
The site uses a temporary PHP session cookie for form handling, security controls and staff authentication. It is strictly necessary for these functions and is not used for advertising. The cookie normally expires when you close your browser.
Cookieless Audience Measurement
We use a self-hosted Matomo service to understand how the website is used and improve its content. Matomo is configured not to store analytics cookies. It records limited usage information such as pages viewed, referring pages and browser details; form names, email addresses and free-text messages are not sent as analytics events. We process this information on the basis of our legitimate interest in measuring and improving the website and retain it only for as long as it remains useful for that purpose.
Google reCAPTCHA
Google reCAPTCHA is used on our Contact page and, when additional security is needed, on the staff login page. It helps distinguish genuine visitors from automated spam or attempted unauthorised access. reCAPTCHA may analyse information such as your IP address, browser activity and interaction with the page, and transfers information to Google for this purpose.
We use reCAPTCHA on the basis of our legitimate interest in protecting the website, its users and stored data from abuse. You can read how Google handles information in its privacy policy and terms of service.
